EPFO Moves to Centralised System: What Members Need to Know

The Employees Provident Fund Organisation (EPFO) has begun a major overhaul of its IT infrastructure, moving from a decentralised setup with over 120 separate databases to a single national system. This transition, part of the Centralised IT-Enabled System (CITES) Project, aims to modernise service delivery and improve transparency.

From June 26 to July 1, certain member services—such as claim submission and passbook downloads—will be temporarily unavailable as the EPFO consolidates data and upgrades software applications. The new system, designed by the Centre for Development of Advanced Computing, is expected to reduce delays and offer a unified digital interface for subscribers.

Why the Change?

Under the old system, each regional office maintained its own database, tying members to a specific office. This led to inefficiencies: retirees and beneficiaries of deceased members often had to visit the office where they had originally worked, even for simple queries. The process was also employer-centric, requiring employer authorisation for most claims. The CITES project addresses these issues by centralising all data into one national database accessible from any EPFO office.

What Will Change for Members?

Once the system is fully operational, members can approach any PF office in the country for assistance, not just their designated one. Most services, including KYC updates, can be done online. The existing Universal Account Number (UAN) and password will continue to work. The new interface will display membership details, PF balances, claim status, pensionable service records, and benefits availed. Members can also respond to queries from EPFO offices electronically, reducing the need for physical visits and minimising claim rejections.

Benefits for Subscribers

The centralised system links all previous member IDs under a single UAN and KYC (Aadhaar). This simplifies transfers, maintains accurate service history, and enables faster settlements, according to EPFO officials. Members will be able to spot discrepancies at the submission stage and provide clearer information. They can also see the eligible amount they can withdraw from their PF.

Implementation Timeline

The migration started on June 26 and is expected to be completed by June 30. The EPFO has warned of a downtime during this period, affecting services. After the transition, the new system will be fully operational from July 1.
